Student accounts

Everyone using Imvoto needs an account: both teachers and students.

In the case of student accounts, you can create accounts for your students or you can get them to do it for themselves.

Most teachers beginning to use Imvoto find it easiest to get students to set accounts up for themselves. As they use Imvoto more, they often set up student accounts for all of their pupils using the Import feature.

Students can either use the register button, or when they start answering questions in an assessment they will be prompted to register or sign in.

To create their account, they’ll need to provide their name, email address and a password. If you are just beginning to use Imvoto, pupils can skip this and continue as a guest student. This will allow them to register fully later, meaning they can start answering questions straight away.

What are groups?

Groups allow you to easily manage your students. They allow you to assign assessments to a group and track their collective progress.

In most cases, a group will be a class of students that you teach. However, you may wish to create groups for other purposes: for example, students who are part of a particular intervention.

Students can belong to multiple groups. They can use the same account for assessments set by any of their teachers.

Create a new group

When you click Create new group you’ll need to choose a name for this new group.

New groupNo two groups at your organisation can have the same name. Therefore, most organisations find it sensible to have names that include:

  • the year group
  • the name or abbreviation of the subject.

This avoids having a maths group and an English group both called Year 10 set 1.

Since Imvoto knows who teaches each group, there’s no requirement to have the teacher’s name as part of the group’s name.

When groups are archived, for example at the end of the year, you will be able to reuse that group’s name.

Other options

If you teach at more than one organisation, you will need to choose a parent organisation for this group from the drop down list.

If another teacher shares this group, type their name into the box. Your own name should already appear here.

Add students

Create new user starts the process of creating a new student account.
You will need to provide a first and last name, as well as the student’s email address.

The Create button can be clicked one the name and email address has been validated. A new account will be create with a random password. Use the Send password button to inform the student of their password.

For students who already have an Imvoto account, you can add them to your group by typing in part of their name or username and selecting them from the drop-down list.

Importing students from spreadsheets or your MIS

The quickest way to create a group of students is by exporting their details from your MIS.

Imvoto imports CSV files, one per class. (If you have many classes to set up, we should be able to do this quickly for you if you email us your class lists.)

Your CSV file needs to have three columns. The order of these does not matter, but the headers do. Make sure the first row of your spreadsheet contains these headers, all in lower case:

  • first, the student’s first name
  • last, the student’s last name
  • email, the student’s email address. This will be the student’s username.

Below is an example class with a single student (we wish!). You can download this as a template to get you started.

Exporting to CSV from Excel

Most teachers tend to save their class lists to CSV from Excel. The first 1 minute and 30 seconds of the YouTube video below explains how to do this. Note that this shows the general process, the data being shown is not a list of students to import to Imvoto.

Importing the group to Imvoto

On the groups page, create a new group. This will initially have no students. Click on the green Select file... button and find the CSV file you created. The students will be added to your group.

View existing group

Groups listYour groups page shows all of the groups to which you have a connection (for example, you teach the group).

To look at or change an existing group, click on that group’s name in your group list.

On a group page, you will see the students who currently make up that group.

Groups user listYou can select one or more students and apply these actions:

  • Send password by email sends an email to all selected students telling them their current password or how to reset it.
  • Remove from group means selected students will no longer be part of this group. However, their accounts will still exist and can be added to other groups.

Create new teacher

Your colleagues can create their own accounts, or you can create one for them.

To create an account on their behalf, click the invite new teacher button when in the group you want to add them to. An email will be sent to them explaining how to get started.
